On-Site and Virtual Office Visits

What is an On-Site Office Visit

An On-Site Office visit will bring a trained and experienced compliance consultant right to your office.  This will be an all day intensive (8 hours) office visit, to evaluate individual departments in your practice for compliance.  This office visit will allow the consultant to identify areas of strenth, weakness, and enable him/her to prepare a comprehensive evaluation report for you, complete with action steps and reference material as needed.

It is important to maximize the practice and the consultant's time together, so during the on-site office visit, we request that all pertinent workforce members be present and the practice be closed during this time.  This allows the provider, workforce and consultant to work together more effectively and efficiently. Though you will be provided with a comprensive report and action plan following the scheduled office visit, it is important for workforce members (including providers) to be present, be involved, and take notes during this comprehensive time of training and evaluation.

Prior to your On-Site Office Visit, you will be provided with a checklist of materials that is needed by your consultant for evaluation.  Chiropractic Compliance Solutions provides a HIPAA secure method for practices to submit data.

The cost of the On-Site Office Visit is $3,399, which includes the consultant's travel and incidental expenses.

What is a Virtual Office Visit

A Virtual Office visit will be conducted with a trained and experienced compliance consultant.  The virtual evaluation will be conducted over a one month time span, where a total of 6 hours of virtual meeting time is scheduled.  The virtual meetings will be conducted through a private video conferencing system used by Chiropractic Compliance Solutions.  This allows our consultant to tour your office and meet with the entire practice workforce face-to-face.

This office visit will allow the consultant to identify areas of strength, weakness, and enable him/her to prepare a comprehsnive evaluation report for you, complete with action steps and reference materials as needed.

During virtual meetings, the consultant and practice provider (or Compliance Officer) will work together to determine meeting topics so that everyone can be prepared when each virtual session begins.  It is frequently necessary for the entire workforce to be present during virtual sessions as this also consists of detailed training and allows us to work most efficiently and effectively to evaluate your practice.

Prior to your initial Virtual Office Visit meeting, you will be provided with a checklist of materials that is needed by your consultant for evaluation.  Chiropractic Compliance Solutions provides a HIPAA secure method for practices to submit data.

The cost of the Virtual Office Visit is $2,199.

Why Should I Schedule an Office Visit

An office visit, On-site or virtual, allows for a separate set of eyes and expertise to evaluate the practice and its compliance with guidelines.  This is a very effective and often much more efficient way for practices to establish their needs for compliance and be guided toward filling those gaps.  Our objective for performing the office visit includes:

1.  Build confidence in the practice workforce by identifying processes that are efficient, effective and compliant with guidelines.

2.  Locate unknown areas of weakness and/or non-compliance and address known areas of weakness and/or non-compliance to guidelines.

3.  Establish corrective action steps for those areas in need of change or improvement.  These are itemized in priority order to allow for increased accountability with a minimal amount of disruption to the practice workforce.

The goal is to improve your practice's efficiency and time management, increase cash flow and revenues, and to guide the practice in a good faith effort to maintain compliance with federal and state guidelines.

What Will Be Covered in an Office Visit

The scope of your On-Site or Virtual Office Visit is primarily defined by the needs of the individual practice.  Because every practice is different, there are often focus areas where the consultant is requested by the practice to address in more detail.  As a general rule, we do evaluate practice structure, systems, and compliance.  The Chiropractic Compliance Solutions consultants follow a specific protocol for evaluation.  This protocol is designed to identify weaknesses and areas of non-compliance that may be costing the practice time, revenue, or increasing the risk of audits and other types of penalties.  Prior to your On-Site or Virtual Office visit, you will have the opportunity to communicate your needs and expectations so that we can address those specific areas of concern.
